Summary

Position Summary

The Operations Assistant will assist in managing the daily activities associated with supporting the Medical Director along with the
administrative members and various co-workers within the department. Provides clerical/secretarial support, organizes,
coordinates and maintains the daily agenda/administrative appointment calendar for the Director. Serves as a focal point for
information within the department and acts as an administrative assistant to the Director. Coordinates and manages travel
expenses. Orders and maintains department office supplies. Maintains open communications with the Directors and coworkers of
the Ambulatory Oncology Service Line to serve as a resource.

Education

  • Associates of Healthcare - Preferred

Experience

  • 2-3 Years Healthcare related field - Required

License & Certification

  • None Required

Core Job Functions

  1. Maintains Director's appointment calendar and informs Director of situations that arise in departments under his supervision. Prepares correspondence, using proper formats in an efficient and timely manner. Establishes priorities and a course of action for handling multiple tasks.
  2. Answers telephones, relays messages, assists callers or transfer callers as needed. Accurate information is provided, taken from caller and delivered to the appropriate recipient.
  3. Responsible for general secretarial duties: Copies, faxing, filing, supplies are ordered and other general duties are completed efficiently and accurately. Creates, copies, scans or faxes documents as required. May distribute mail to appropriate staff. Reserves conference room for internal/external departments and staff.
  4. Supportive administrative duties: Assists with processing invoices for multiple department cost centers. Establishes and maintains efficient file systems for invoices and other records. Special projects, presentations, databases and others are drafted and completed for the Director as needed.
  5. Coordinating and scheduling interviews for various staff positions including physicians and directors on an as needed basis.
